Privacy Policy

    Habyn ("we", "us", "our") provides a property operating system for homeowners, landlords, tenants, and property managers. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over it. If you have any questions, email privacyofficer@habyn.ai.

    1. Information we collect

    • Account information: name, email address, phone number, province, and the role you identify with (landlord, tenant, property manager).
    • Property and tenancy data: addresses, units, leases, documents, maintenance requests, and related records that you or your organization upload.
    • Verification data: information you provide to verify identity or ownership, processed only as needed to confirm trust on the platform.
    • Usage data: log data, device and browser information, IP address, and interactions with the product, used to operate and improve the service.
    • Communications: messages you send us, including early-access sign-ups and support requests.

    2. How we use information

    • To provide, secure, and improve the Habyn platform.
    • To authenticate users and protect against fraud and abuse.
    • To send service updates, security notices, and (with consent) product updates.
    • To comply with legal obligations and enforce our Terms of Service.

    3. Legal bases

    Where required by law, we process personal information based on contract performance, legitimate interests (operating and improving the service), consent (for optional communications), and legal obligations.

    4. Sharing

    We do not sell personal information. We share data only with:

    • Service providers that host, secure, or operate the platform (e.g. cloud infrastructure, email delivery, error monitoring), under contractual data-protection terms.
    • Other users in your organization (e.g. members of a landlord's team or a property manager's portfolio), based on the role and access you grant.
    • Authorities when required by law or to protect rights, property, or safety.

    5. Data retention

    We retain account and property data for as long as your account is active or as needed to provide the service. After account closure we delete or anonymize data within 90 days, except where longer retention is required by law (e.g. tax or accounting records).

    6. Security

    We encrypt data in transit (TLS 1.2+) and at rest, isolate tenant data, and follow least-privilege access controls. See our Security page for details.

    7. Cookies and analytics

    We use a small number of strictly necessary cookies to operate the site. With your consent, we also use analytics to understand which pages and tools are useful so we can improve them:

    • Vercel Web Analytics is privacy-friendly and cookieless. It collects aggregate page metrics without cookies or personal identifiers.
    • Google Analytics 4 is loaded only after you grant analytics consent in our cookie banner. Until you opt in, no Google analytics cookies are set and no data is sent. You can decline, or change your choice at any time by clearing the banner choice in your browser storage.
    • Microsoft Clarity provides aggregate heatmaps and session replay to show how pages and tools are used. Clarity masks text and form inputs by default. Like Google Analytics, it is loaded only after you grant analytics consent; until you opt in, no Clarity script runs and no data is sent.

    Analytics consent is optional and off by default. Declining does not affect your ability to use the site.

    8. International transfers

    Habyn is operated from Canada. If you access the service from outside Canada, you understand your information will be processed in Canada and other jurisdictions where our service providers operate, with appropriate safeguards.

    9. Your rights

    Depending on your jurisdiction, you may have the right to access, correct, delete, port, or restrict processing of your personal information, and to withdraw consent. To exercise these rights, email privacyofficer@habyn.ai. We will respond within the timeframes required by applicable law.

    10. Children

    Habyn is not directed to children under 16, and we do not knowingly collect their data.

    11. Changes

    We may update this policy from time to time. Material changes will be communicated by email or in-product notice. The "Last updated" date above reflects the latest revision.
